Who we are

English Chamber Orchestra (ECO) is a charitable incorporated organisation registered in England and Wales, charity number 1214613 and CIO registration number CE041015. ECO is responsible for the personal information covered by this notice. It covers our website, enquiries, donations, supporter memberships and subscriptions, ticket bookings, newsletters, prospective supporters and commercial relationships.

Information we use and why

We use contact details, correspondence, donation, membership, subscription and ticket-booking records, payment references, communication preferences and relevant project or professional information to:

  • Answer enquiries and manage relationships, relying on our legitimate interests in running ECO and responding to you.
  • Arrange requested services, ticket bookings and paid memberships or subscriptions, and send necessary confirmations and service updates, relying on contract where applicable.
  • Process donations and maintain accounting and Gift Aid records where applicable, relying on legitimate interests and relevant legal obligations.
  • Send newsletters, concert news and fundraising or promotional emails where we have your consent or another permitted basis under electronic-marketing rules. We respect your communication choices and provide an unsubscribe option. Necessary donation receipts, booking confirmations and subscription administration are separate from marketing.
  • Research relevant business and funding contacts, relying on our legitimate interests in developing appropriate partnerships and support, balanced against your rights. Email outreach must also meet the applicable electronic-marketing rules.

    You normally give us information directly. For prospect research, we also use Hunter and publicly available professional sources, such as company websites, to find or verify names, business contact details and roles. You may ask where we obtained your information.

    If information is necessary to fulfil your request or meet a legal obligation, we will explain this when collecting it. Without it, we may be unable to provide the requested service. Where an activity needs additional information, such as education participation or recruitment, we explain its use when collecting it.

    A donation, purchase or enquiry does not by itself give permission for unrestricted marketing. Public recognition of individual supporters is handled separately from newsletter preferences. If we propose to publish your name, image or story, we will explain the intended use and establish the appropriate permission or other lawful basis first. Partner promotion does not itself authorise sharing your contact details with that partner for its own marketing.

Website measurement and service providers

We use Google Analytics to understand website use and Microsoft Clarity for heatmaps and session replay, including interactions such as clicks and scrolling. These tools can process device, browser and online identifier information. Our Cookie Policy explains the related choices.

We use Mailchimp for email communications, Beacon for relationship management, Hunter for prospect research and storage, and Microsoft 365, including SharePoint, for office communications and records.

Relevant information may also be handled by our website and IT providers, ticketing and payment services, accountants, bookkeepers and professional advisers where needed for their work. Access is limited to information needed for the relevant service.

Hosting provider: IONOS Web Hosting Premium. Website data handled: Referrer, requested website or file, browser type and browser version, operating system used, type of device used, time of access, and IP address in anonymized form, used only to determine the location of access. Hosting country: EU region (project zone: GB). Backup country: Not specified by IONOS.

We use Eventbrite for ticketing and event bookings. We use Stripe for card payments and donations. We use PayPal Express Checkout for payments and donations.

International processing

Some of our service providers operate internationally, so your information may be processed outside the UK. UK data protection law requires an appropriate basis for restricted international transfers, such as adequacy regulations or approved contractual safeguards. For information about the countries and safeguards relevant to your data, and how to obtain a copy of applicable safeguards, contact James using the details above.

How long we keep information

We keep information for as long as needed for the purpose for which it was collected. We consider the duration of our relationship, outstanding enquiries, accounting and tax obligations, and the need to resolve disputes. We then delete or anonymise it. We may retain a limited record of an opt-out so we can respect it. James can explain the retention criteria applicable to your information.

Your choices and rights

You can object to direct marketing at any time, including related profiling, by using an unsubscribe link or contacting James.

Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your information, and object to processing based on legitimate interests. Where we rely on consent, you can withdraw it without affecting earlier lawful processing.

You can complain directly to the Information Commissioner’s Office at ico.org.uk/make-a-complaint. You do not have to contact ECO first.

Changes

We may update this notice as our services, providers or legal requirements change. We will show the revision date and bring significant changes to your attention where required. An update does not remove your rights or replace consent where it is needed.
